NEW THIS YEAR: If your organization is exhibiting and you will be working in the booth, be sure to select the appropriate option under "Exhibiting" in the registration form so you get the appropriate credentials when you pick up your badge onsite.

In 2022 and 2023, there were issues with the CITI card accepting the meeting’s vendor code for those registering using their GTCC. To avoid registration issues this year, please contact your credit card manager now to ensure that your card does not have a block on merchant code 7399 (Business Services) before registration opens. The link for hotel reservations is sent only after the meeting registration fee is paid. Avoid delays in getting a hotel room by being proactive in addressing this matter as soon as possible.

If an individual is deemed ineligible for their selected rate, the category and fee will be adjusted. A badge will not be released without payment in full.

Government personnel using the Defense Travel System (DTS) should adjust their per diem in DTS for the meals provided.
Hotel Reservations
To gain access to hotel reservations, you must first register for and pay the registration fee for the meeting. Once completed, you will receive a confirmation email, which will include a link for hotel reservations.
Those who reserve U.S. government per diem rooms will need to provide proper credentials upon arrival to receive the per diem rate (plain white CAC card or equivalent with gold chip or an active-duty military ID). Any reservation deemed ineligible for the per diem rate will be moved to the standard room block at the corresponding rate.

Payment Tokens
If your organization requires registration fees to be paid through a Government Purchase Card (GPC), not a Government Travel Card (GTCC), and there are at least 5 individuals attending the 2024 MHSRS, we have created Payment Tokens to help make the registration process easier.
Payment tokens are created by the GPC cardholder when they submit a request online. The token is a unique code, similar to a promotional code, distributed by the GPC cardholder to individuals to register and pay on their own. If a token is not established, all individuals who plan to attend will have to register and pay on their own at the time of registration.
Please note: registration is a prerequisite for getting the hotel reservations link. Rooms at the conference headquarter hotel typically sell out on the first day. Therefore, groups should be prepared to register as soon as registration opens.
How does it work?

GPC cardholder establishes a payment token through the secure, online portal.

Registration instructions, attached to the payment token confirmation, are distributed by the GPC cardholder to those authorized to attend.

Individuals use the instructions to register and pay once registration opens.

Individuals then share their registration confirmation/invoice with the GPC cardholder for payment.

GPC cardholders pay securely online as the individual confirmations arrive or they can wait until all are registered and pay at one time with one total charge.

Payment

Conference credentials will not be released without payment in full. We accept Mastercard, Visa, and American Express. Charges will appear as “The Bridge Group LLC” on your credit card statement.

Tokens are pre-authorized and subject to approval. Unauthorized use will result in a balance due or cancellation.
Changes & Refunds
-
Registrants who are unable to attend may substitute another person. Submit name changes and corrections through the link in the email confirmation/receipt or by clicking on the option to “Update an Existing Registration” on the main registration page.

Payment changes incur a $50 fee, charged to the original form of payment. This applies to credit cards as well as payment tokens.

Refunds due to cancellation incur a $50 processing fee through 10 August. After August 10, there are no refunds. Cancellation fees apply to all registrations, whether paid by credit card or payment token. No exceptions.

Any registrant who doesn’t attend the conference and has not canceled by 10 August will not be refunded. This includes those who paid with a Token.

Individuals are responsible for canceling their own hotel and travel reservations. The Bridge Group, LLC nor MHSRS will be liable for hotel or travel costs for any reason.

The Bridge Group, LLC and MHSRS reserve the right to cancel your duplicate or unpaid registrations without notice.
Data/Privacy
We take your privacy very seriously. By registering for this event, we will use your information on the basis of our legitimate interests to keep in contact with you about future editions of this and other similar events which may be of interest to you. We will only ever use the information we collect or receive about you in accordance with our Privacy Policy. You can opt out at any time using the unsubscribe buttons in our emails.
International Visitors/Letter of Invitation

Please note: MHSRS and its Show Management Contractor, The Bridge Group, LLC, have no influence on the decision of any U. S. Embassy or Consulate to approve or reject any application for a visa to enter the United States. As an applicant, it is your responsibility to present legitimate reasons for attending the 2024 MHSRS and provide all necessary documentation to support your request for a visa. MHSRS cannot assist you with the visa application or interview process, nor can we contact the embassy or consulate on your behalf to support your visa application.
