Have the 2026 abstract notifications been released?

Yes. 

Letters were released on 1 June 2026.  Abstract notification letters (accepted, not accepted) are sent to the abstract submitter and the presentation author.  If you have not received your 2026 abstract notification, check your junk box first and then contact Program Support at  https://mhsrs.health.mil/MHSRS_Submissions/contactus  with any questions.

Why are there 2 MHSRS websites?  What is the difference between the two sites?

Refer to your notification letter for the name of the breakout session under which your abstract was selected and the date and time of this session. The dates and times of all 2025 Plenary and Scientific Breakout Sessions can be accessed through the official MHSRS app.

I was selected for an oral presentation at a breakout session, but I cannot attend. Can I send a substitute presenter?

The MHSRS https://mhsrs.health.mil website is a government website that provides pre meeting functionality (e.g., abstract submission, abstract reviews) and content storage (e.g., abstracts, presentations).  This site is password enabled.  However, funds cannot be collected through this site, necessitating the need for the site managed by the meeting support contractor.

 

The www.mhsrs.net (2026 updates currently under way) is owned by the support contractor and can accept registration funds.   This is your “go-to” site for meeting registration and logistical information after registration opens.

Has the 2026 MHSRS been approved?

Yes, as of 14 April 2026.

What are the dates and location for the 2026 MHSRS?

The 2025 MHSRS will be held 3-6 August 2026 at the Gaylord Palms Resort and Convention Center, Kissimmee, FL.     

When does registration for the 2026 MHSRS open?

Meeting registration will open on 29 June at 1200 (noon) Eastern Standard Time.  This later time of day is to accommodate our West Coast attendees.  

Do I register for the meeting through the MHSRS (https://mhsrs.health.mil/) website?

No

 

The https://mhsrs.health.mil/ site is not the meeting registration website.  Registration is managed by the MHSRS Support Contractor, The Bridge Group (TBG Events) please go to www.mhsrs.net  (2026 updates to this site are currently underway)

What are the meeting registration fees for 2026 MHSRS?

There are two rates:

  • $450 per person – U.S. Active-Duty Military and G.S./equivalent civilian. This fee includes 8 meals.Also qualifying for this registration rate are Reservists and National Guard members and non-U.S. Active Duty and non-U.S. government civilian employees with the appropriate identification.One day registrations for $300 are also available with meals included.

  • $800 per person – All others.This fee includes 8 meals.One day registrations for $500 are also available with meals included.

 

The 8 meals are: 4 breakfasts, 3 lunches, and one dinner
Monday – Breakfast, Lunch, Reception (Dinner)
Tuesday, Wednesday - Breakfast and Lunch

Thursday – Breakfast only


Note: Government personnel using the Defense Travel System (DTS) should adjust their per diem in DTS for the meals provided.   

Last year, I tried to register for the meeting using my individual Government Travel Charge Card (GTCC) and the charge was denied.What should I do for 2026?

In the past, some CITI credit cards have declined due to blocked merchant category codes. Before registration opens, please contact your credit card manager to ensure your card doesn't block transactions classified as "Business Services" or "Marketing Services". The charges will appear on the statement as "The Bridge Group LLC" or "TBG Events”. As a reminder, the link for hotel registration is sent only after the meeting registration fee is paid. Avoid delays in getting the hotel link by being proactive in addressing this issue.

What is a registration token and how do I get one?

Some organizations do not allow their personnel to put meeting registration fees on their individual (government or company) travel card/credit card.  Instead, these fees are through a central purchase card holder.  As a result, we offer a registration payment token to those purchase card holders who are paying the registration fee for 3 or more people in their organization. What are the 2026 MHSRS hotels? 

The Gaylord Palms Resort and Convention Center (prime) and the Mariott Village (alternate/partner). 

What is the meeting registration process?

  • Register for the 2026 MHSRS at www.mhsrs.net and pay the registration fee. 

  • Shortly after you will receive an email from with your registration receipt/confirmation.This letter will contain links to both Gaylord and Marriott Village reservations.The link for hotel registration is sent only after the meeting registration fee is paid.

  • If you are a federal government civilian, The system links your email address to your eligibility for a per diem room.

  • If you are a contractor working at a government facility and you get a link with the diem rate ($110/night) at the Gaylord, you received the incorrect link.You do not qualify for this room rate.Contact mhsrs2026@anidealpartner.com (no s) immediately to get the correct link.   Anyone in this category runs the risk of losing their room at the Gaylord if we cannot accommodate the federal government personnel.

Are centrally provided travel funds available to attend?

No.

 

All funding is local.  There is no central funding to attend the MHSRS.  There are no student discounts.

 

All speakers/speaker organizations and poster presenters are responsible for covering meeting costs to include travel, hotel, and registration. 

I have co-authors.  Can I list them on my title slide? 

No.

 

Only the Speaker(s)/Presenter(s) should be listed on the title slide. This individual/individuals have submitted a COI/Disclosure form for review.

 

All presentations must also include an acknowledgement slide.  On this slide, list individuals who may have contributed to the overall work but NOT the individual slide deck preparation.  These individuals do not require a COI form.

I am a contractor registering my boss for the meeting, who is a federal government employee. The registration site (www.mhsrs.net) asks me to pick a CAC design to verify my status.  Do I pick my CAC design?

No.

 

Pick the CAC design of the person you are registering for.   In this case, it would be your boss’s government CAC.   In doing this, you ensure that the correct room reservation link is sent to your boss. 

What are the hotel room rates at the Gaylord for MHSRS 2026? 

U.S. Federal Employee/Government Per Diem (Standard Room): $110.00.

Federal government employees are exempt from the nightly resort fee and from local and state taxes if a Florida tax exemption form is provided at hotel check-in. 

 

The $110/night rate applies to U.S. Federal government employees only. You must present your government CAC card, PIV card, or equivalent, at the hotel registration desk for verification. This rate does NOT apply to state employees, FFRDC or ORISE personnel, or to non-U.S. military and civilian government employees.

 

For all others, the rate is $263/night plus a $45/night resort fee plus taxes.    

 

All room reservations will be audited on a regular basis.  Ineligible attendees booking at the government rate will be automatically switched to the standard room rate if rooms are still available. If none are available, the reservation will be cancelled.

Is there an alternate hotel property available besides the Gaylord?

Yes.

 

The Marriott Village is a designated 2026 MHSRS partner hotel.   The Village consists of three Marriott properties (Courtyard, Springhill Suites, and Fairfield Inn).  Although in Orange County, the Village will provide rooms at the Osceola County rate to all who register under the MHSRS room block.  This rate is $110/night with no taxes charged of a Florida State Tax Exempt form is presented at registration. The links to a hotel reservation at the Marriott Village is available on the registration email sent to registrants after the registration fee is paid.    

If I stay at the Marriott Village, how will I get back and forth to the Gaylord for the meeting.

The Marriott Village will provide complementary shuttles to/from the Gaylord daily Monday through Thursday.  These will be provided in the morning and in the evening after the sessions are over.

Will bus transportation be provided from the Orlando airport (MCO) to the hotel and back to the airport in 2026? 

No.

 

Attendees must arrange their own transportation from MCO to their hotel.  There are many shuttles/public transportation options available.

Are rental cars authorized for U.S. Federal employees attending the 2026 MHSRS?

No.  See above question.

Will printed programs be available at the meeting this year?

No.  We will once again rely on the event meeting app which will be made available in July.

 

We have eliminated printed materials in 2026.  

 

The overall meeting agenda and day-to-day speaking schedule will be posted on the health.mil and health.net sites.  Attendees are encouraged to print these before leaving for the meeting. 

How do I obtain booth space?

What are the MHSRS exhibit booth rates for 2026? 

The basic booth size is 10 ft. by 10 ft.

 

Rate for Government/Military: $4,175 for the basic booth

  • Symposium registration fees are not included in this price.

 

Non-Government/Industry: $4,350 for the basic booth

  • Symposium registration fees are not included in this price.

What is included in the exhibit booth fees? 

Each booth includes:

  • Carpet, 8’ backwall drape, 3’ side-rail drape, 6’ skirted table, two chairs, booth ID sign.

 

Note: Exhibit fees do NOT include freight handling, electrical service, and other ancillary booth services.

Are exhibit hall personnel registration fees including in the exhibit booth fees? 

No.

 

To offer more flexibility to our exhibitors, registration is no longer included as part of the booth fees. The overall fee is not changed.   This represents a separation of fees for better accounting. All exhibit hall personnel will register for the meeting and pay individually on the MHSRS registration website.
