Presenter Guidelines

Please ensure that the content of your slide presentation and/or poster complies with all Executive Orders that have been released.

Preparing Your Poster

Size posters to fit on boards measuring 4 feet high and 6 feet wide. Presenters must bring and hang their own posters at the designated times. Pushpins will be available to affix posters to the board. Posters will NOT be printed or picked up by the meeting organizers. 
 

Sample Poster

  • There is no set format for the posters. Check out this sample poster and tips on how to create a research poster. For science and technology research, these sections are required: Introduction, Materials and Methods, Results, Discussion/Conclusion.

  • Professional poster presentations should be designed to maximize readability and make material readily comprehensible.

  • The title should be in a simple typeface with high contrast, sizing sub-elements (authors and affiliations) so these elements are readable from 15-20 feet away.

  • Plan for smooth information flow which will guide the reader through your presentation in a logical and interesting path. Arrows may help.

  • Integrate text and figures visually under major headings which actively convey information, not just labels.

  • Make sure any background colors are subtle, complementary, and uniform.

  • Text must be large enough to read from 4 to 6 feet away. Avoid all capitals and excessive dilution of text with white space.

  • Figure and table captions should contain necessary explanation without referring to another part of your presentation.

  • Use color in graphs and tables to enhance comprehension. Use bullets to dramatize important points or lists.

Poster Assignments & File Naming

Poster board assignment numbers will be posted on the 2025 MHSRS App within one week of the 2025 MHSRS. 


File Naming

Be sure to use the following protocol when naming your poster file:
MHSRS_Number_Presenter Last Name_First Few Words of Poster Title
 

Example: MHSRS_12345678_Smith_Best-Poster-Ever
 

Do not include the following characters in the file name: ” # % & * : < > ? / \ { | } ~

2025 Poster Schedule

Poster Session 1 | Tuesday, 5 August

  • Poster Set-up: Begins at 0900

  • Presenters at Posters: 1000-1200

  • Poster Take-down: By 1230

 

Poster Session 2 | Tuesday, 5 Augus

  • Poster Set-up: Begins at 1430

  • Presenters at Posters: 1530 – 1730

  • Poster Take-down: By 1800

 

Poster Session 3 | Wednesday, 6 August

  • Poster Set-up: Begins at 0900

  • Presenters at Posters: 1000-1200

  • Poster Take-down: By 1230 

* Posters need to be picked up directly after your session or they will be disposed of to make room for next poster session. The organizers will not be responsible for them after each session.

Uploading Your Poster

The portal for uploading the .pdf of your MHSRS 2025 poster is open. Poster .pdfs can be uploaded at any time up to the start of the meeting on 4 August.

Please note: If the poster judges designate a poster as eligible for an award, a .pdf of the poster must be available for review, or the poster will be disqualified from consideration.

Once you area logged in, click the “Upload Presentation” button in the Actions column of the My Abstract Entries table.

 

The author/submitter is responsible for obtaining the necessary organizational clearances related to presenting the poster prior to the symposium. For Department of Defense presenters, the individual presenter is responsible for obtaining the appropriate clearance from their local Public Affairs, OPSEC offices, or other organizational offices, as locally required, prior to presenting at MHSRS.
