Poster Presentations
I was selected for a poster presentation. How do I find out the date and time of my session?
Refer to your notification letter. It lists the name of the breakout session under which your poster session was selected, in which Poster Session (1, 2, or 3) it will be presented, and the date and time of that poster session.
The list of Breakout Session posters being presented at each of the 3 poster sessions can be found on the 2026 Meeting Agenda, which can be accessed here.
Poster board numbers are not available at this time but can be accessed through the app closer to the meeting.
I was selected for a poster presentation. Do I need to register? Is there a discount?
Yes.
You need to register and pay the published fee. There is no discount for poster presenters or students.
I have multiple posters in the same poster topic area. Can my posters be placed side by side?
Placement of posters by the same author in a particular Breakout Session topic area (e.g., Prolonged Care) is done as part of the quality control review before the poster board numbers are assigned. For any other request concerning multiple posters by the same author, we do our best to accommodate but make no promises.
Can I place a QR code on my poster for readers to find additional information on the research?
Yes, QR codes are permitted.
How do I upload the .pdf of my poster?
A pdf of your poster should be uploaded before you leave for the 2026 MHSRS. By July 31, 2026, upload your poster in a pdf format. Sign into your account on the MHSRS health.mil website. The Upload Poster button is located at the bottom of your abstract. The pdf will be posted to the MHSRS website as soon as it is uploaded.
To be eligible for consideration for a poster award, a pdf of your poster must be accessible to the judges. If a pdf is not available, the poster will be eliminated from award consideration.
What are the guidelines for preparing my poster?
Printed posters should be sized to fit on boards measuring 4 feet high and 6 feet wide.

Please ensure that the content of your poster complies with any Executive Order that has been released.

Use your organizational template to prepare your poster.

Bring the printed poster with you to the meeting. The MHSRS will not print any posters. Alternately, you can mail your poster to the hotel, but the poster needs to be addressed to you. A fee is required to retrieve it. The MHSRS organizers will not accept/retrieve any mailed posters.
I was selected for a poster presentation. Can I ship my poster to the Gaylord?
Yes, please note that the hotel charges a fee to pick it up. The meeting organizers will not pick up your poster for you.

What is my responsibility for organizational clearances for my presentation (poster and/or slide)?
Attendees are responsible for obtaining all required organization clearances (e.g., Public Affairs
Operational Security) for their oral presentation slides or posters.

Is it possible to make edits to my accepted abstract after the notification letter is received?
Yes.
The MHSRS health.mil website has re-opened to make minor edits to your accepted abstract. Only the original submitter of the abstract can make these changes. (https://mhsrs.health.mil/MHSRS).
Go to the submitter’s account on the MHSRS health.mil site to access the abstract. Make the change(s) and click save.
Allowable edits include minor text changes, change of presenter, adding a disclaimer, and/or withdrawing the abstract.
Will you be publishing the accepted abstracts on the MHSRS website?
Yes.
The abstracts of those authors who have given us permission have been posted. These can be accessed at https://mhsrs.health.mil/MHSRS.
I was selected for a poster presentation but can no longer attend. Are substitute presenters allowed?
Yes, with one exception.
Substitute presenters are not permitted for the Young Investigator Competition (oral or poster).
If you are unable to attend but have a substitute presenter:

Log in to your abstract on the MHSRS website and update the presenter information.

Submit a message through the Contact Us / Program Support page on the MHSRS website to notify the MHSRS team of the presenter change.
If you are unable to attend and do not have a substitute presenter:

Log in to your abstract on the MHSRS website and select Withdraw Abstract (located at the bottom of your abstract).

Submit a message through the Contact Us / Program Support page on the MHSRS website to notify the MHSRS team of the withdrawal.
